Ronin is a product operated by Bromin7, Inc. ("Company", "we", "our", or "us"). This Privacy Policy describes how we collect, use, and protect information when you use the Ronin platform.

1. Information We Collect

We collect the following categories of information in connection with operating the Ronin platform:

Account and Profile Data

Name, email address, phone number, job title, organization name, and authentication credentials for users who create a Ronin account.

CRM Contacts and Companies

Contact records, company profiles, notes, tags, pipeline stage information, and other CRM data that Ronin operators import, create, or derive while using the platform.

Conversations and Communication Activity

Message content, conversation history, timestamps, channel identifiers, and interaction metadata across the communication channels you connect to Ronin, including SMS, email, voice, and web chat.

Voice, SMS, and Email Data

Call recordings and transcripts (where enabled), SMS message content and delivery status, and email message content and metadata associated with communications facilitated through the Ronin platform.

Calendar Data

When you connect a calendar integration, we access availability information and booking data to enable scheduling functionality within the platform.

Operational and Security Metadata

IP addresses, device type, browser type, session identifiers, access logs, usage activity, and other technical data collected to operate, secure, and improve the service.

2. Google API Services User Data

Ronin allows users to connect a personal Gmail account to the platform. This section describes specifically how we handle data obtained through Google APIs.

What We Access

When you connect a Gmail account, Ronin may access and use the following data from Google APIs:

  • Connected Gmail account information (email address, account identifiers)
  • Inbound email messages in your connected Gmail inbox, including sender and recipient addresses, subject lines, and message body content
  • Gmail message identifiers and thread identifiers used to track and associate messages
  • Gmail history IDs, watch notification data, and Pub/Sub subscription metadata used to maintain real-time inbox synchronization

Sending Email from a Connected Gmail Account

When you have connected a Gmail account and that send functionality is enabled, Ronin may send email on your behalf from that connected account. This occurs only when explicitly initiated by you or through an automation you have configured and authorized. Ronin does not send email from your Gmail account without your direction.

How We Use Gmail Data

Data obtained from Google APIs is used solely to provide the Ronin CRM, communication, and automation functionality you have requested. Specifically:

  • Gmail data is not sold to third parties.
  • Gmail data is not used for advertising or to serve you ads.
  • Gmail data is not used to train generalized AI or machine learning models.
  • Gmail data is not shared with unrelated third parties outside of the service providers necessary to operate Ronin.
  • OAuth credentials for your connected Gmail account are encrypted at rest.

Limited Use Compliance

Ronin's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Disconnecting Gmail

You may disconnect your Gmail account from Ronin at any time through the platform's channel settings. Upon disconnection, we will cease accessing your Gmail data. You may also request deletion of Gmail-derived data and your account data as described in the User Rights section below.

3. How We Use Information

We use collected information to:

  • Provide, operate, and improve the Ronin platform
  • Facilitate communication between businesses and their contacts across connected channels
  • Run AI-powered automations and workflows you have configured
  • Support scheduling, pipeline management, and CRM functionality
  • Send transactional and operational messages (confirmations, follow-ups, support responses)
  • Ensure platform security, prevent fraud and abuse, and comply with legal obligations

4. SMS and Communication Consent

By providing a phone number through a form, interaction, or business relationship with a Ronin operator, you may consent to receive SMS and voice messages from that business through the Ronin platform.

Messages may include appointment confirmations, follow-ups, customer support communications, and service-related notifications. Message frequency varies.

Opt-out: You may opt out at any time by replying STOP to any SMS message.

5. Data Sharing and Service Providers

We do not sell personal information.

We may share data with trusted service providers and processors that assist us in operating the platform, including:

  • Cloud infrastructure and hosting providers
  • SMS and voice communication providers (such as Twilio)
  • Email delivery and relay providers
  • AI inference providers (for platform functionality only, not model training on your data)
  • Analytics and monitoring services

We use service providers subject to applicable contractual, confidentiality, data-protection, and security safeguards appropriate to the services they provide.

We may also disclose information as required by law, court order, or governmental authority, or to protect the rights, safety, or property of Ronin, our users, or the public.

6. Data Security

We implement technical and organizational safeguards designed to protect data, including encryption in transit, encryption at rest for sensitive credentials, access controls, monitoring, and other security measures appropriate to the nature of the service and the data we process. No method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

7. Data Retention and Deletion

We retain connected-account data and derived communication records only for as long as needed to provide the service, comply with applicable legal obligations, and satisfy configured retention policies.

You may request deletion of your account and associated data by contacting us at the address below. We will process deletion requests in accordance with applicable law and our retention obligations.

8. Your Rights

Depending on your location, you may have rights with respect to your personal data, including the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Disconnect connected third-party accounts (such as Gmail) and request deletion of data derived from those connections
  • Object to or restrict certain processing
  • Data portability, where applicable

9. Cookies and Tracking

We use cookies and similar technologies to operate the platform, maintain sessions, analyze usage, and improve the user experience. You may control cookie preferences through your browser settings, though some platform functionality may be affected.

We may update this Privacy Policy from time to time. We will post any changes on this page with an updated effective date. Continued use of the platform after changes are posted constitutes acceptance of the updated policy.
